What happens in week 1?

Discovery and call-flow mapping. We audit how calls are handled today: the scripts, the booking logic, the escalation rules, and the edge cases your CSRs handle from memory. For a contractor on ServiceTitan, the audit pulls 30 days of call recordings and the dispatch board to map where leads leak.

To start, we need access to your scheduling software and CRM, your current call scripts or handling procedures, your pricing documentation, and 2 to 3 hours of your operations team's time. We handle everything else.

What happens in weeks 2 and 3?

Build and integration, side by side. The agent is trained on your business: your services, your pricing tiers, your service areas, and your FAQs. At the same time it is wired into the tools you already run, ServiceTitan, Jobber, Housecall Pro, HubSpot, or whatever you run your business on, so that jobs and appointments are created in real time as the call happens. The agent is deployed into your existing phone system through Twilio.

What is shadow mode, and why is week 4 spent in it?

Shadow mode is live calls with a person overseeing every one. The agent handles real calls alongside your CSRs, and every booking is reviewed before the full switch-over. On the contractor agent that is 5 business days with every booking reviewed, then cutover at week 4.

After the switch-over, the agent keeps improving from call recordings and booking outcomes.

What can make it take longer?

When an engagement starts with a diagnosis rather than a module, the deployment comes after it: the working session and diagnosis take 1 to 2 weeks and produce a revenue leak map and an ROI projection; the build plan takes another 1 to 2 weeks and sets a measurable target for each deployment. What happens after go-live?
